Who You Are Contracting With
The company behind UCN Mail.
UCN Mail is a managed email hosting service operated by UCNHUB LLC, a limited liability company formed under the laws of the State of Delaware, United States. In these Terms, “UCN Mail”, “we”, “us”, and “our” refer to UCNHUB LLC.
UCNHUB LLC also operates other products under the UCN name. These Terms apply only to UCN Mail and the services made available at ucnmail.com and its subdomains.

Acceptance of These Terms
When this agreement takes effect.
These Terms form a binding agreement between you and UCNHUB LLC. You accept them by creating an account, adding a domain, purchasing a mailbox, or otherwise using the Service.
If you are accepting these Terms on behalf of a company or other organisation, you confirm that you have the authority to bind that organisation, and “you” refers to that organisation.
If you do not agree to these Terms, do not use the Service.

- You must not be barred from receiving our services under applicable sanctions or export laws
- You are responsible for compliance with the laws that apply to you and to the people you create mailboxes for
Definitions
Terms used throughout this document.
Service
The UCN Mail platform: the dashboard, the webmail application, the Apps, Drive, calendar and contacts, the mail servers, and the SMTP, IMAP, and POP3 endpoints we operate.
Account
The administrative account you register with us, used to manage domains, mailboxes, and billing.
Domain
A domain name you add to the Service and for which you configure DNS records so we can send and receive mail on your behalf.
Mailbox
An individual email address hosted on one of your Domains, provisioned on a plan tier and billed separately.
Apps
The UCN Mail applications we publish for Android and iOS, and any other client software we distribute.
Your Content
Everything you or your mailbox users send, receive, upload, or store through the Service — message bodies and headers, attachments, files stored in Drive, calendar entries, and contacts.
The Service We Provide
What UCN Mail includes.
Subject to these Terms and to payment of the applicable fees, we grant you a non-exclusive, non-transferable, revocable right to use the Service for the term of your subscription.
The Service runs on standard protocols, so you are free to use the mail client of your choice. Storage, daily sending limits, and features depend on the plan tier of each Mailbox, as published on our pricing page.

- Drive storage, calendar, and contacts on every Mailbox
- Standard SMTP, IMAP, and POP3 connectivity for third-party mail clients
- Generated SPF, DKIM, and DMARC records, with automated propagation checks
- Inbound spam, malware, and phishing filtering
Note
We do not provide domain registration. You must obtain and keep control of any domain you use with the Service through a registrar of your choice.
Your Account and Security
Credentials, accuracy, and responsibility.
You are responsible for everything that happens under your Account and under any Mailbox you create, including actions taken by your employees, contractors, or anyone else you give access to.
- Provide accurate registration and billing information and keep it current
- Keep your password and mailbox credentials confidential and do not share them
- Use a distinct, sufficiently strong password for each Mailbox you provision
- Notify us promptly at [email protected] if you suspect unauthorised access
Important
We are not liable for loss arising from credentials you or your users disclose, reuse, or fail to protect. Compromised mailboxes are a common source of outbound spam, and a compromised Mailbox may be suspended without notice to protect the platform.
Domains and DNS
What you must control, and what we require.
To host mail on a Domain, you must own it or be authorised by its owner to configure it. Adding a Domain you do not control is a breach of these Terms.
Mail delivery depends on DNS records that only you can publish at your registrar or DNS provider. We generate the exact records required and verify them, but we cannot publish them for you.

Important
If the required records are removed, altered, or expire — or if you transfer the Domain away, allow its registration to lapse, or point it elsewhere — mail sent to or from that Domain may be delayed, rejected, or lost. We are not responsible for mail that cannot be delivered as a result.
Mailboxes and End Users
Provisioning mailboxes for other people.
You may create Mailboxes for other individuals, such as members of your team. You remain the customer of record for every Mailbox on your Account, and you remain responsible for the fees they incur and for their compliance with these Terms.
Where you create Mailboxes for other people, you are responsible for having a lawful basis to do so, for informing those people how their mail is hosted, and for handling their requests about their own data in the first instance.
The UCN Mail Apps
Android and iOS clients.
We publish UCN Mail applications for Android and iOS. Subject to these Terms, we grant you a personal, non-exclusive, non-transferable, revocable licence to install and use the Apps on devices you own or control, solely to access the Service.
The Apps are an additional way to reach your Mailboxes. They are not a separate product and carry no separate charge: your Mailbox subscription governs what the Apps can access.
- Keep the Apps updated; we support the current release and may end support for older versions
- Do not decompile, modify, or redistribute the Apps, or use them with an unofficial server
- The Apps may ask for device permissions — notifications, storage, camera, calendar, or contacts — which you can grant or refuse in your device settings
- Removing an App from a device does not delete any Mailbox and does not stop billing
App stores
The Apps are distributed through Google Play and the Apple App Store. Your use of those stores is governed by their own terms, and their rules apply alongside these Terms. Your mobile network or data charges are your own.
Apple-specific terms
Where you obtain the iOS App from the Apple App Store, this agreement is between you and UCNHUB LLC only, not with Apple. Apple has no obligation to provide maintenance or support for the App. If the App fails to conform to any applicable warranty, you may notify Apple and Apple may refund the purchase price; to the maximum extent permitted by law, Apple has no other warranty obligation. UCNHUB LLC, not Apple, is responsible for addressing any claim relating to the App, including product liability, legal or regulatory non-compliance, and intellectual property claims. Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you.
Drive Storage
Storing and sharing files.
Every Mailbox comes with Drive, where you can upload files and folders and share them by link. Drive holds what you put into it.
Storage is subject to the allowance published for that Mailbox's plan tier, and we may prevent further uploads once the allowance is reached.
You can share from Drive publicly, so that anyone with the link can open it, or with named people. You decide what to share and with whom, and you are responsible for the consequences of that choice.
- A public share link is accessible to anyone who has it, and may be forwarded on or indexed by search engines; treat anything you share publicly as published
- You are responsible for the files and folders you store and share, and for holding the rights to them
- The Acceptable Use section applies to files in Drive exactly as it applies to mail
- Deleting a file, a Mailbox, or your Account removes the associated files permanently
Rights in what you upload
You confirm that you own the files you upload, or hold the licences and permissions needed to store and share them. You keep ownership. You grant us only the licence needed to host the files, and — where you share a file publicly — to serve it to anyone who has the link. That licence exists to operate the feature and ends when the file is deleted.
Copyright and takedown notices
We respond to copyright complaints under our DMCA Policy. If we receive a valid notice about a file you have shared, we will disable access to it, notify you, and forward you the notice. You may dispute the removal by counter-notification. Accounts that attract repeated valid notices are suspended and ultimately terminated under our repeat infringer policy.
Content we will remove
Beyond copyright, we will remove files and may suspend the Account where content is unlawful or infringes another party's rights — including material that sexually exploits minors, malware, stolen credentials or leaked databases, counterfeit goods, phishing kits, content that is defamatory or harassing, and personal data published without a lawful basis. Child sexual abuse material is reported to the authorities as required by law.
Data we do not accept
Drive is a general-purpose file store and is not certified for regulated data. Do not upload protected health information subject to HIPAA, cardholder data subject to PCI DSS, government-classified material, or data subject to export control, unless we have agreed to it in writing and put the necessary agreements in place.
No general monitoring
We do not review files proactively and have no obligation to do so. We act on reports we receive and on material we otherwise become aware of. Not removing something is not an endorsement of it, and does not waive our right to remove it later.
Reporting a file
To report a file shared through UCN Mail, write to [email protected] with the share link and a description of the problem. Copyright complaints should follow the process in our DMCA Policy.
Excessive use of share links
Public links are for sharing files with people, not for serving assets to an application or a website. We may rate-limit or disable a link that generates disproportionate traffic, is used as a content delivery network, or is used to distribute a file at a scale that affects the platform.
Preservation
Where we are required by law, or reasonably believe it necessary to respond to a legal claim, we may retain a copy of a file after you delete it, for as long as that obligation lasts.
Important
Drive is not a backup service. It stores the copy you upload, and that copy is gone when you delete it or delete the Mailbox it belongs to. Keep your own backup of anything you cannot afford to lose.
Calendar and Contacts
Scheduling and address book data.
Each Mailbox includes a calendar and an address book, which sync to the devices and clients you sign in from.
Calendar invitations you create are sent as mail to the people you invite, and are subject to the same Acceptable Use rules as any other message. Do not use invitations to deliver unsolicited marketing.
- Contacts you store are personal data about other people, and you are responsible for having a lawful basis to hold them
- Details you put in an invitation are disclosed to everyone invited to that event
- Calendar and contact data is deleted with the Mailbox it belongs to
Plans, Billing, and Taxes
How charges work.
The Service is billed per Mailbox, per month, in advance, at the tier selected for each Mailbox. There is no separate account-wide plan: your total is the sum of the Mailboxes you have provisioned.
Payments are processed by Stripe. By providing a payment method you authorise us to charge it on a recurring basis for all Mailboxes on your Account until those Mailboxes are deleted or your Account is closed. We do not store full card numbers on our systems.
Renewal
Subscriptions renew automatically each billing cycle. Adding a Mailbox mid-cycle, or moving a Mailbox to a different tier, adjusts your charges from that point forward.
Failed payment
If a charge fails we may retry it. If payment remains outstanding we may suspend sending, then suspend access to the affected Mailboxes, and ultimately terminate them. We will attempt to notify you before access is lost.
Price changes
We may change our prices. Changes apply from your next billing cycle and we will give you at least 30 days' notice by email to the address on your Account. Continuing to use the Service after a change takes effect constitutes acceptance of it.
Taxes
Prices are exclusive of taxes unless stated otherwise. You are responsible for any sales, use, VAT, GST, or similar taxes arising from your purchase, other than taxes on our income.
Cancellation and Refunds
Stopping charges and getting your data out.
You stop being charged for a Mailbox by deleting it from your dashboard. There is no separate subscription to cancel — charges stop when the Mailboxes stop existing.
Fees already paid for the current billing period are not refunded pro rata when you delete a Mailbox before the period ends. Deletion is immediate and permanent.
- Export anything you need before deleting a Mailbox or closing your Account
- Deleted Mailboxes, and the mail, files, calendars, and contacts in them, cannot be recovered by us once removal is complete
- Nothing here limits any statutory right of withdrawal or refund you may have as a consumer under the law that applies to you
Important
Deletion is irreversible. Once a Mailbox is removed we have no mechanism to restore its contents, including from backups.
Acceptable Use
The rules that keep the platform deliverable.
Email infrastructure is shared. Abuse from one customer damages the sending reputation every other customer depends on, so we enforce this section strictly.
You must not use the Service to send, store, or facilitate any of the following:
- Unsolicited bulk or commercial email, however described, including mail to purchased, rented, scraped, or otherwise non-consenting lists
- Mail that violates CAN-SPAM, the GDPR, PECR, CASL, or any other law applicable to the message or its recipients
- Phishing, spoofing, or any attempt to impersonate another person, organisation, or domain
- Malware, ransomware, or links intended to compromise a recipient's device or accounts
- Content that is unlawful, defamatory, or infringes another party's intellectual property or privacy rights
- Material that sexually exploits minors, or that promotes violence or unlawful discrimination
- Attempts to probe, scan, overload, or circumvent the Service, its filtering, or its rate limits
- Operation of an open relay, or resale of the Service as a bulk-sending platform without our written agreement
Important
Confirmed spam, phishing, or malware activity may result in immediate suspension without prior notice. Where the platform's deliverability or another customer's mail is at risk, we will act first and contact you afterwards.
Sending Limits and Fair Use
Volume, throttling, and reputation.
Each plan tier carries a daily sending limit, published on our pricing page and shown in your dashboard. Limits apply per Mailbox and reflect ordinary business use.
We may throttle, queue, or reject outbound mail that exceeds those limits, that shows the pattern of a compromised Mailbox, or that generates complaint or bounce rates likely to damage the deliverability of the platform.
- Keep bounce and complaint rates low, and remove invalid and unsubscribed addresses promptly
- Honour unsubscribe requests in any mail sent to a list
- Contact us before starting an unusually large or unusual sending pattern so we can plan for it
Suspension and Termination
When access can be withdrawn.
We may suspend or terminate your Account, a Domain, or an individual Mailbox where you materially breach these Terms, where fees remain unpaid, where we are required to act by law, or where continued operation presents a security, legal, or deliverability risk to us or to other customers.
You may stop using the Service at any time by deleting your Mailboxes and closing your Account from the dashboard.
Effect of termination
On termination your right to use the Service ends immediately, outstanding fees become due, and Your Content is scheduled for deletion in accordance with our Privacy Policy.
Reinstatement
Where a suspension results from a resolvable issue — an unpaid invoice, or a compromised Mailbox that has since been secured — we will normally restore access once it is resolved. We are not obliged to reinstate an Account terminated for abuse.
Your Content
What you keep, and the access we need.
Your Content is yours. We claim no ownership over the mail you send and receive, the files you store, or the calendars and contacts you keep on the Service.
You grant us only the limited licence needed to operate the Service for you: to transmit, store, back up, scan for spam and malware, and display Your Content, including through the infrastructure providers we use to run the platform. That licence exists only to run the Service and ends when Your Content is deleted.
Note
We do not sell Your Content, we do not use it to build advertising profiles, and we do not read your mail except where strictly necessary to operate the Service, to act on a support request you make, or to comply with a valid legal obligation.
Privacy and Data Protection
Our respective roles over the data involved.
Our handling of personal data is described in our Privacy Policy, which forms part of these Terms.
Where you use the Service as an individual, we act as the controller of your Account data. Where you use it as an organisation and create Mailboxes for other people, we act as a processor of the content in those Mailboxes on your instructions, while remaining the controller of your Account and billing data.

- We use sub-processors — including Stripe for payments, and our hosting and DNS providers — to deliver the Service
- Data may be processed in the United States and in other countries where our providers operate
Availability and Support
What we aim for, and what we do not promise.
We use commercially reasonable efforts to keep the Service available and mail flowing, but we do not warrant uninterrupted or error-free operation, and we do not currently offer a contractual uptime guarantee or service credits.
We give advance notice of planned maintenance where practical. Emergency maintenance and security patching may occur without notice.
- Delivery to third-party providers depends on their acceptance and is not something we can guarantee
- Interruptions caused by your DNS configuration, your registrar, or your network are outside our control
- Support is provided by email, and we aim to respond within one business day
Backups and Data Retention
Keep your own copy.
We maintain operational backups for our own disaster-recovery purposes. Those backups are not an archival service, are not guaranteed, and should not be relied on as your record of your mail.
Because Mailboxes are accessible over IMAP and POP3, you can keep a local or third-party copy of your mail at any time. We recommend that you do.
Intellectual Property
What belongs to us.
The Service — including our software, dashboard, documentation, design, and the UCN Mail and UCNHUB names and logos — is owned by UCNHUB LLC and protected by intellectual property law. These Terms grant you no rights in it beyond the right to use the Service.
If you send us feedback or suggestions, you grant us an unrestricted right to use them without obligation or compensation to you.
- Do not copy, modify, reverse engineer, or create derivative works of the Service
- Do not use our names, logos, or branding without our prior written permission
- Do not remove or obscure any proprietary notices in the Service
Third-Party Services
Things we depend on but do not control.
The Service relies on third parties — payment processing, hosting, DNS resolution, and the mail providers your recipients use. Their terms govern their services, and we are not responsible for their acts, omissions, or availability.
Links to third-party sites in the Service or in our documentation are provided for convenience and are not an endorsement.
Disclaimer of Warranties
The Service is provided as is.
To the maximum extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind, whether express, implied, or statutory, including any implied warranty of merchantability, fitness for a particular purpose, title, or non-infringement.
We do not warrant that the Service will be uninterrupted, secure, or error-free, that every message will be delivered or received, or that filtering will identify every unwanted or malicious message.
Some jurisdictions do not allow the exclusion of implied warranties, so parts of this section may not apply to you.
Limitation of Liability
The limits of what we can be held to.
To the maximum extent permitted by law, UCNHUB LLC and its members, officers, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, or exemplary damages, or for any loss of profits, revenue, goodwill, business, or data, arising out of or relating to the Service, however caused and on any theory of liability.
Our total aggregate liability for all claims relating to the Service in any twelve-month period will not exceed the total fees you paid us for the Service in the twelve months immediately before the event giving rise to the claim.
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for fraud, for death or personal injury caused by negligence, or any statutory consumer rights you may have.
Indemnification
Claims arising from your use.
You agree to indemnify and hold harmless UCNHUB LLC and its members, officers, and employees against any claim, demand, loss, liability, or expense — including reasonable legal fees — arising out of Your Content, your use of the Service, your breach of these Terms, or your violation of any law or third-party right.
Changes to the Service and These Terms
How updates are made and communicated.
We may modify, add to, or discontinue parts of the Service. Where a change materially reduces functionality you rely on, we will give reasonable notice.
We may also update these Terms. When we do, we will revise the “Last updated” date at the top of this page, and for material changes we will notify you by email to the address on your Account at least 30 days before they take effect.
Continuing to use the Service after revised Terms take effect constitutes acceptance. If you do not accept them, stop using the Service and delete your Mailboxes before the effective date.
Governing Law and Disputes
Which law applies and where disputes are heard.
These Terms, and any dispute arising from them, are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-law rules.
You and UCNHUB LLC agree to the exclusive jurisdiction of the state and federal courts located in Delaware, and each party waives any objection to venue in those courts.
If you are a consumer resident in a jurisdiction whose law grants you the right to bring proceedings locally, or to rely on your local consumer protection law, this section does not remove that right.

General Provisions
The remaining standard terms.
Entire agreement
These Terms, together with our Privacy Policy, Cookie Policy, and DMCA Policy, are the entire agreement between you and UCNHUB LLC regarding the Service, and supersede any prior discussions.
Severability
If any provision is held unenforceable, it will be limited or removed to the minimum extent necessary and the remaining provisions will stay in full force.
No waiver
A failure to enforce any provision is not a waiver of our right to enforce it later.
Assignment
You may not assign or transfer these Terms without our written consent. We may assign them to an affiliate, or in connection with a merger, acquisition, or sale of assets.
Force majeure
Neither party is liable for a failure to perform caused by events beyond its reasonable control, including network or power failures, acts of government, or the failure of an upstream provider.
Notices
We give notice by email to the address on your Account, or by posting in the dashboard. You give notice to us at [email protected].
