Business email on your own domain, configured for deliverability from the first message. Authentication, filtering, and DNS records are handled for you.
A client, bank, or partner who receives an invoice from a free personal mailbox reads it as unpolished, not credible. In Japan's relationship- and trust-driven business culture, a domain-matched email address is one of the clearest signals that a company is established and takes its correspondence seriously. Professional email is a small investment that pays back in credibility every time a message is opened.
The Council of Anti-Phishing Japan received 224,693 phishing reports in September 2025 alone, up roughly 16.2% from the previous month — and its 2026 guideline notes that monthly reports have repeatedly topped 200,000 in 2025, compared with under 100,000 a month just three years earlier. Business email compromise has grown especially fast: Japan recorded the largest year-over-year increase in BEC attacks among major markets studied, with a 35% spike between 2022 and 2023, ahead of South Korea and the UAE. In response, Japan's Ministry of Internal Affairs and Communications issued a formal request in September 2025 for stronger anti-phishing measures across industry.
Mailbox providers score every sending domain before a message reaches an inbox. A domain without SPF, DKIM, and DMARC authentication looks unverified to these filters and gets routed to spam or blocked outright, regardless of how legitimate the sender is. Every quotation, invoice, or follow-up lost this way is a deal the business never knew it lost.
Japan's Act on the Protection of Personal Information (APPI), overseen by the Personal Information Protection Commission (PPC), governs how organizations collect, use, and secure personal information, with requirements for appropriate security control measures and mandatory reporting when a data breach poses a risk to individuals' rights. Business email, which routinely carries customer records, contracts, and internal communications, falls within the scope of the APPI for organizations handling that data.
Every week spent on an unverified or personal address adds to the risk of impersonation, blocked mail, and fraud. Japanese businesses should move to a verified company domain, implement SPF, DKIM, and DMARC authentication, and manage email access with the same discipline applied to banking systems. UCN Mail is built to make that shift straightforward — professional email with the authentication, security, and reliability a Japanese business needs to be trusted and reach the inbox.

CEO Fraud Hit Over 6,000 Japanese Companies in Three Months
Trend Micro reported that a new wave of CEO impersonation fraud targeted more than 6,000 organizations in Japan between December 2025 and February 2026 alone, with Tokyo companies losing roughly ¥670 million across just 14 incidents. The scam is simple but effective: an email appearing to come from a company president or executive asks accounting staff to urgently change a bank transfer destination. A properly authenticated business domain makes that kind of impersonation far harder to pull off convincingly.
59% of Businesses Still Run on Fax — Email Is the Next Frontier
Japan's Ministry of Internal Affairs found that around 59% of businesses still use fax for daily operations, alongside hanko seals for signing documents — a legacy workflow the government's Digital Agency has been actively pushing companies to move beyond. As more everyday business communication shifts from fax and paper to email, getting that email setup right the first time matters more than ever, since it's rapidly becoming the primary channel for client and partner communication.
SMEs Employ 70% of the Workforce but Lag Behind Digitally
Japanese SMEs employ around 70% of the country's workforce yet generate less than half of total business revenue, and Japan trails regional peers like Singapore and South Korea in digital competitiveness rankings. For a small business owner looking for one straightforward digital upgrade, moving off a free or personal email account onto a proper business domain is a low-effort, high-visibility first step.
A Free Webmail Address Still Reads as Informal
Many small Japanese businesses default to a docomo.ne.jp, yahoo.co.jp, or personal Gmail address, which can look casual to a partner or client evaluating a new supplier. A domain-matched address — [email protected] — signals an established, serious operation, particularly useful when a first email is often the only impression a new contact has before a meeting.
Getting Started: What You'll Need
Have your domain ready (or one to register), a short list of who needs a mailbox, and about 15–20 minutes to update your domain's DNS records with your registrar. UCN Mail handles domain verification and authentication setup, so client correspondence and invoices land reliably — and are far harder for a fraudster to convincingly spoof.
Included in every tier, at no extra cost.
Billing is per mailbox — add mailboxes on any tier as your team grows, and change a mailbox's tier anytime from your dashboard. There's no separate account-wide plan to manage.
